RFP for 2018 Event Video Production

Overview

The videos produced for the Maricopa Health Foundation (MHF) events are intended to educate, inspire, and motivate the audience to embrace the mission of MHF and the event theme. The videos should stand alone as individual elements in an overall program, but be suitable for social media and web posting with slight edits.

The 2018 events that require video production services are as follows:

  • Arizona Legacy Circle Night of Heroes – April 26, 2018
  • Women’s Luncheon – September, 2018 TBD
  • CopaBall – October 27, 2018

The videos required for these events will include, but not be limited to the following:

1.     Opening video -AKA "Shock and Awe" (One for each event)
The shock and awe video is the attention getter and first video element in the program. It should represent the comprehensive theme of the event (i.e. the burn unit, pediatric care, emergency resident program) and either begin with an attention grabbing element and segue into subject matter, or be created in two parts, an attention-getting intro AND a 3-4 minute segment detailing the program highlighted during the event. The video will play immediately after the lights dim at the start of the program, and should include a formal 'welcome' and invitation to sit.

Total run time: 2-3 minutes

2.     Award video(s) (Copaball)
Each year, Copa Ball honors one doctor and one nurse with an award named for a former MIHS standout. These videos should each be short, simple tributes featuring co-workers of both the doctor and nurse of the year. One representative could be a 'nominating' co-worker, or that person's supervisor.

Total run time: 1-2 minutes each.

3.     Call to the heart video (One for each event)
Near the end of the program, we will feature a call to the heart story. This story is the cliffhanger/tear-jerker /emotional high point of the event. The story will feature a patient and their family, and tell their story through interviews, photos and news coverage, if any exists. (Example, a NICU narrative, a burn patient re-entering society, a refugee child, a pediatric cancer patient.) This story should leave no doubt about the miracles of medicine happening at Arizona's largest safety net hospital. Specific examples from this video may be used to "ask" for specific sums of money in the form of financial gifts.

4. Legacy Award Video (Copaball only)

The Legacy award is given to the community honoree for the evening. Past recipients have included the Pendergast Family and the Thunderbirds. These people and/or organizations are being singled out and shown gratitude for their past gifts to MHF, and their strong community roots. The video should highlight the best features of the person/organization and how they have helped give back to MHF and others.

Total run time: 2-3 minutes

Project Requirements:

All videos must be complete and submitted for review two weeks prior to each event. Production of all videos will be overseen by Gabe Rushing, Director of Marketing, for MHF. Videos will be the property of MHF and will be subject to their final approval no later than five days prior to each event.

The video producer will be expected to be in contact with MHF staff through all phases of project execution, meeting as needed in person or by phone or email and providing written progress updates.

The video producer will be expected to produce all elements of the video, which may include but are not limited to:
 

  • Outlines
  • Storyboards
  • Scripting
  • Voicing
  • Lighting
  • Graphics
  • Animation
  • Editing
  • Coding
  • Music

The video producer will be required to secure its own production facilities and equipment as needed to complete the project.

Proposals Should Include:

1.     Introduction summarizing your production resources, and relevant experience.

2.     Examples and samples of past projects, preferably of a similar size and scope.

3.     References from past projects.

4.     Proposed budget for the project. The proposed budget should include a suggested work plan and a breakdown of fees for professional services, hours, and administrative services, including taxes.

5.     Proposed schedule for the project, including project stages, milestones and payments.

6.     Identify you or your company’s point of contact, including name, title, phone, and e­mail address

Proposal Timeline:

Deadline for submission of proposal to MHF is February 2, 2018.​ Finalist will be invited in for a 20 minute presentation the week of February 12th. It is anticipated that the selection will be completed by February 16, 2018.​
